Personalization & Custom Orders

This Personalization & Custom Orders Policy applies when you ask QUBZI to personalize or otherwise customize a product. You may request customization for any product in our store, but a request does not guarantee that every product, design, material, method, color, size, deadline, or other requirement can be produced. We review each request before accepting it.

1. Requests and Feasibility Review

You can submit a request through an available product-personalization feature or by contacting supports@qubzi.com. Please provide the product, quantity, desired text or artwork, size, placement, colors, deadline, and any other relevant instructions.

We may ask questions, recommend changes, or decline a request based on available materials, production methods, product construction, image quality, safety, legal or rights concerns, production capacity, destination, timing, or the risk of an unsatisfactory result. Uploading a file or sending a request does not by itself mean that QUBZI has accepted the custom order.

2. Review Standards and Prohibited Content

QUBZI will not knowingly produce content that:

  • is unlawful, fraudulent, deceptive, defamatory, threatening, harassing, hateful, discriminatory, or promotes violence or illegal activity;
  • is sexually exploitative, depicts or sexualizes minors, or contains unlawful intimate imagery;
  • infringes or is reasonably suspected of infringing copyright, trademark, publicity, privacy, or another person's rights;
  • uses a person's name, image, likeness, or personal information without the permission required by law;
  • contains malware, harmful code, regulated or unsafe instructions, or material that could damage production equipment or create a product-safety risk; or
  • cannot be reproduced to a reasonable quality with the selected product or process.

We may request evidence of permission, require changes, reject or remove submitted content, or stop work if a concern is discovered later. A content or feasibility decision does not waive any rights or remedies available under applicable law.

3. Displayed Prices, Custom Quotes, and Revisions

A price displayed on a product page is the price for the standard product and options shown there. It is not necessarily the final price for requested custom work. The final custom price is the amount stated in the written quote, custom invoice, or checkout summary you approve before payment. It may include disclosed charges for design preparation, setup, special materials, added labor, proofs, rush work, shipping, duties, and taxes. We will not add a new charge above the approved amount without your agreement.

Unless the quote says otherwise, a custom quote is valid for 7 calendar days and includes one initial digital proof and up to two rounds of reasonable revisions. A revision round means one consolidated set of requested changes. A new concept, replacement artwork, a different product or specification, or changes beyond the included rounds may require a revised price and timeline. A quote does not reserve materials or production capacity until the stated acceptance and payment requirements are completed.

4. Proof Review and Customer Approval

Before approving a proof, you are responsible for checking all details, including names, spelling, punctuation, dates, numbers, dimensions, orientation, placement, colors, product, variant, size, quantity, and the correct version of every uploaded file. Your written approval by email, message, approval control, or other recorded method authorizes QUBZI to produce the item as shown and specified.

Digital proofs are visual guides and are not exact physical samples. Screen settings, lighting, material texture, production method, and normal handmade or manufacturing variation can affect color, scale, placement, and finish. We will use reasonable care to follow the approved proof and specifications. QUBZI is not responsible for an error that appeared in the proof and was approved by you, but this does not apply when the delivered item materially differs from the approved proof or where liability cannot lawfully be excluded.

Changes requested after approval may be impossible, may delay the order, and may require additional payment. We will obtain your agreement before charging an additional amount.

5. When Production Begins

A custom order enters production only after QUBZI has received all required information and usable files, your recorded approval of the final proof, and cleared payment or other payment arrangement stated in the quote. Any production or shipping period stated in the accepted quote or order confirmation runs from the point specified there; carrier transit time is separate unless expressly included.

Contact us immediately if you want to change or cancel an order. Before production begins, we will honor a cancellation where reasonably possible. After production begins, changes or cancellation may no longer be possible. Where applicable law permits, a product made to your specifications or clearly personalized may not qualify for a change-of-mind return. This does not limit rights relating to products that are defective, damaged, misdescribed, or materially different from the approved proof. 6. No Response, Inability to Produce, Production Failure, or Delay

  • No response: If we need your approval or information and do not receive it, we will place the request or order on hold. After 14 calendar days without a response, we may close an unpaid request. If a paid order has not entered production, we may cancel the affected item and issue a prompt refund to the original payment method for the unproduced item and its customization charges, plus any related amounts required by law.
  • Unable to produce: If we determine before production that the approved request cannot be made, we may offer a revised design, product, price, or timeline for your express approval. We will not substitute a materially different item without your consent. If no acceptable option is agreed, we will cancel the affected item and issue a prompt refund of the amounts paid for it.
  • Production failure: If production fails or the item cannot be completed to the approved specification, we will offer, as appropriate, a remake or a cancellation with a prompt refund for the affected item. We will not require you to accept a materially different result.
  • Delay: If we cannot ship within the time stated in the accepted order, we will notify you, provide a revised shipment date when reasonably possible, and explain your option to accept the delay or cancel the unshipped affected item for a prompt refund. If we cannot obtain any consent to a delay that applicable law requires, we will cancel and refund the unshipped affected item as required by law.

Refunds are returned to the original payment method unless applicable law requires otherwise. Bank or payment-provider processing time may apply after QUBZI issues a refund. These remedies do not reduce any non-waivable consumer rights.

7. Rights to Text, Trademarks, Images, and Other Content

By submitting text, a logo, trademark, photograph, illustration, design, or other content, you confirm that you own it or have all licenses, permissions, and consents needed for QUBZI and its production providers to use it for your order. This includes any necessary permission from a trademark or copyright owner and from each identifiable person whose name, image, likeness, or personal information appears in the content.

You retain your ownership rights. You give QUBZI and the service providers involved in your order a limited permission to host, review, adapt for production, create a proof from, reproduce, manufacture, fulfill, deliver, and support the custom item. We do not obtain ownership of your submitted content merely because you place an order, and we will not use it in public marketing or a product showcase without separate permission.

8. Privacy of Customization Data and Images

Customization instructions and uploaded files may be linked to your cart, account, communications, and order. We use them to assess feasibility, prepare proofs, produce and fulfill the item, provide support, prevent abuse, resolve disputes, and meet legal obligations. We may share them only as reasonably necessary with Shopify, secure storage or communications providers, and the production, fulfillment, or delivery providers handling the order.

Do not upload payment-card numbers, government identification, health information, biometric templates, intimate images, images of children without lawful parental authority, or other highly sensitive information. We do not use customization images to identify a person or infer sensitive characteristics, and we do not use them for unrelated advertising or public display without permission.

We retain customization files only as long as reasonably needed to review, produce, fulfill, support, return, refund, or defend a claim concerning the item, after which they should be deleted or de-identified. A production provider may retain a copy under its documented retention obligations.
